To keep everything running smoothly at Be Our Guest Events, good planning is indispensable.
With this explanation, you'll know exactly how we work with scheduling employees, assembling teams and creating the roster.
That way we avoid miscommunication and everyone knows where they stand.
Read below step by step how the planning process works, what we expect from you and how you can be well prepared yourself.
1️⃣ Request for quote & availability round
As soon as there is a request for quotation comes in with a high probability of passage, we start taking stock of our team's availability.
All croupiers will receive notification about this via email and a notification in the Rentman app.
Your action:
Enter within 2 to 3 days your availability through Rentman:
- Available - You can work on the date indicated.
- Not available - You cannot work (always let us know this too).
- Doubtful? - If so, please let us know via the app so we know that you still need to check if it works out.
Our colleagues in the office are waiting for your response at this stage to determine whether we definitively accept the assignment or may have to reject it due to understaffing. It is therefore important that you always reacts quickly this determines whether we can take a job or have to let it go.
2️⃣ Team Selection
When enough croupiers are available, the office assembles the team.
Grading is done carefully based on:
- Motivation and commitment
- Reliability and previous performance
- Speed of response
- Experience with the type of event
New colleagues (junior croupiers) are paired with a experienced senior croupier.
That way you learn directly from the best and you always have someone on the team to whom you can turn with questions.
We want everyone to develop and become stronger with each assignment.
3️⃣ Team communication via WhatsApp
Once the team is complete, we will make a WhatsApp group chat to for that particular assignment.
In this group app all communication about the event shared, such as:
- Additional Information
- Colleagues you work with
- The callsheet
- Special or specific instructions
You will be asked for a read confirmation send as soon as you read the message.
This will ensure that everyone has received the information and put the date in their calendar.
Do you have questions about the assignment or your work? Then always ask them in that event's group app.
All communication regarding that particular assignment is exclusively through this group app, so that everything remains organized and clear.
4️⃣ Appointment = Appointment
At Be Our Guest Events we apply a clear rule: a deal is a deal.
Our customers count on us and we count on you. That means you:
- Always on time are present (at least 10 minutes before the start).
- Prepared and professional appears.
- Keeping your appointments made.
Notice: If you do not show up without having coordinated this in advance by phone with Tim or Talitha?
Then this means summary dismissal. We work professionally, and we expect that from everyone on the team.
Reliability is the basis of our success.
5️⃣ Surely you can't work after you pass on “available”?
That can occur, of course, but it is important that we do so as soon as possible know, so we can arrange replacements and our customer will not be disappointed.
