When our own transport buses are already scheduled, we use a rental bus from Jansen & Van Kouwen in Huizen.
We use these buses only as an emergency solution for busy days or simultaneous events.
It is important that everyone knows how this works and what is expected of you when using a rental bus.

📍 Where do you find the rental bus?

• In most cases, the rental bus is already picked up by a colleague from the office.
• The bus then stands ready in the warehouse parking lot or on the street side on Ambachtsweg.
• The key to the rental bus is located in the key tray in the warehouse.
  When in doubt, consult the supervisor or the group app to check which bus is yours. In most cases, you can easily find this on the callsheet.

🪙 Fuel & driving

• All rental buses run on diesel. (Also all of our own buses run on diesel!)
• Always use the fuel card from Be Our Guest Events to refuel this lies the designated tray in the warehouse.
• Fueling you always do before returning of the rental bus (see below).
• Drive quietly and responsibly this is not your own vehicle but a rented commercial vehicle.
• Check before departure: damage, lighting, mirrors and fuel level. See anything suspicious or that you have questions about? Then put it in the appropriate group app for your assignment.

🚛 Loading and unloading the rental bus

Loading and unloading a rental bus is exactly the same as with our own transport buses.

• Use blankets, foams and straps to prevent damage.
• Make sure everything is secure and protected while driving.
• Use the checklist on the callsheet to check that everything is loaded.
• Upon return to the warehouse, the same rules apply for Unloading, cleaning and checking.

⛽ Bus refueling (mandatory!)

Before returning the rental bus, it should always be filled up be with our corporate bank card.
This is a hard condition of the landlord and of our company.

• Fully refuel the bus at the nearest diesel fuel station (use the fuel card).
• Don't throw away receipts leave the receipt from fueling in the callsheet folder.
• Forget to fuel the bus? Then Royal Casino Company will receive a fine of € 15, - excluding VAT
  This fine will be charged to the team that was responsible for the bus.

🔑 Drop off bus at Jansen & Van Kouwen

Upon completion of the assignment, the rental bus must be returned the same evening (unless otherwise agreed with you or stated on the callsheet). Returned to Jansen & Van Kouwen Car Rental in Huizen.

• Address: Ambachtsweg 52, Huizen (next to the Esso gas station).
• Park the bus neatly in any parking lot of the rental company.
• Check that all personal belongings, materials and bags have been removed from the bus.
• Do not leave trash, coffee cups or materials behind the bus must be returned clean.
• 📸 If in doubt, take a photo of the parked bus as proof of correct submission.

📮 Key turn in

The key must be turned in immediately via the key safe from Jansen & Van Kouwen car rental (See image below with red arrow).

• Put the key in the designated slot of the safe deposit box.
• Once turned in, the key cannot be retrieved.
• So check always in advance Whether you left nothing more on the bus!
• After turning in, report in the group app:
  “Rental bus returned, refueled and key returned to Jansen & Van Kouwen.”

⚠️ Important points of interest

• 🧠 Think ahead don't forget to fill up before driving to the rental company.
• 🔍 Always check that the bus is completely empty (including dashboard, door pockets, cargo area).
• 🚫 Do not leave any company or personal belongings behind; the bus will return immediately.
• 💸 Do you forget to refuel or leave the bus dirty? Then the extra cost will be charged to your team.

Notice: If you forget to refuel the bus or take stuff out, that's your responsibility.

Always return the key to the rental bus through Jansen van Kouwen Car Rental's special key safe.
The safe is hanging on the wall next to the fence (see red circle in the picture).

How does it work?
Turn the metal turning mechanism until the opening becomes visible.
Insert the key into the opening and then release the turning mechanism.
The key then automatically drops into the safe.
Always check to make sure the key has actually dropped to make sure it is safely stored.
